Administrative Assistant - Faculty of Arts, Humanities & Cultures
Fixed-term – maximum of 130 hours available (between 1 October 2020 – 30 September 2021)
Do you have excellent administrative and organisational skills and an interest in supporting research activities in Medieval Studies?
We are looking for a professional and proactive individual to play an important role in the support of a new research network entitled “The Joust as Performance: Pas d’armes and Late Medieval Chivalry” which is funded by the Arts and Humanities Research Council. Your role will be varied and will require excellent time management and communication skills, as well as the ability to work effectively with a variety of software, including online databases and systems. You will work in close collaboration with the Principal Investigator of the research network, Professor Rosalind Brown-Grant, as well as with the Co-Investigator, Dr Mario Damen (University of Amsterdam).
The post-holder will work to a maximum of 130 hours over a period of 12 months (between 1 October 2020 – 30 September 2021). Specific periods of work will be determined by the Principal Investigator in accordance with the needs of the project .
What does the role entail?
As an Administrative Assistant your main duties will include:
Making logistical arrangements for the research network’s workshops and conference sessions (booking rooms, organising catering, preparing written and electronic materials for distribution);
Attending the workshops and conference sessions, taking notes during discussions, helping with catering arrangements and clearing up on the day;
Organising and booking travel and accommodation for network members;
Maintaining and developing the project website so that it provides material of interest to a general audience as well as specialised information for academic users;
Assisting the PI and Co-I in the preparation of papers for an edited volume of essays (liaising between contributors and editors; tracking the submission of papers and their progress through subsequent stages of editing).These duties provide a framework for the role and should not be regarded as a definitive list. Other reasonable duties may be required consistent with the grade of the post.
What will you bring to the role?
As an Administrative Assistant you will have:
Strong administrative and organisational skills;
An understanding of and a commitment to excellent customer service;
Excellent IT skills, with sound knowledge of Microsoft Word, and Excel and the ability to use these to create professionally formatted documents, process data and organise information;
Familiarity with using on-line database systems and an ability to learn new systems quickly and effectively;
Demonstrable ability to work well and accurately under pressure, using initiative to prioritise and meet conflicting deadlines;
Excellent verbal communication and interpersonal skills;
Excellent written communication skills including the ability to produce documents for varying purposes and audiences;
An ability to work in collaboration with academic staff;
An enthusiastic, positive and adaptable approach;
Ability to deal with confidential and sensitive information;
An interest in self-development and a willingness to learn new skills.
You may also have:
Experience of studying or working in a Higher Education environment, particularly in Medieval Studies
Familiarity with University procedures and systems (particularly HR, Finance, Purchasing);
Experience of supporting researchers in an academic environment;
Experience of arranging seminars, workshops, conferences and outreach events.
