Joblink are thrilled to be the official staffing partner of the International Medieval Congress 2025 (IMC). We are looking for enthusiastic and motivated individuals to work as Conference Assistants, providing both customer service and operational support to the IMC team.
About the IMC
The International Medieval Congress (IMC) will take place 7-10 July. Begun in 1994, the IMC now attracts 2,500 medievalists – ranging from eminent scholars to postgraduate students --from around the world, making it the largest conference of its kind in Europe. It is organised and administered by the Institute for Medieval Studies (IMS), at the University of Leeds. The main aim of the IMC is to provide an interdisciplinary forum for discussion of all aspects of the European Middle Ages (300-1500). IMC is returning to the University of Leeds in July 2025 as a Hybrid event, blending a largely in-person experience with opportunities or virtual participation.
We expect to welcome around 2500 attendees to Leeds in person and a further 300 online as virtual attendees at IMC 2025.
As a member of the team you would be allocated one of the various conferencing positions available, including event ambassador, registration desk assistant, session room assistant, smaller fairs assistant, excursions assistant, events assistant and virtual session room assistant.
Various roles available including:
Session room assistant
During IMC: Responsible for the set-up of session rooms, including setting up PCs in session rooms for online session streaming and virtual participation (following set procedures), moving furniture, setting up AV equipment, ensuring water is supplied, general tidying/cleaning, providing technical support to speakers both within the session room and via Zoom calls, providing general assistance and information to delegates.
Virtual Session room assistant
Assisting in testing of session room streaming equipment, monitoring and record virtual sessions and support with moderation
Registration Desk Assistant
During IMC: Working with the Registration Pack Collection Desk Supervisor to provide delegates with their delegate packs, providing customer service and assisting delegates with any queries.
Fairs Assistant
Set up and breakdown of smaller fairs and ‘Making Leeds Medieval’ event. This will include setting up tables, gazebos and other temporary structures for smaller fairs, working with exhibitors to direct them to their stands, and assisting exhibitors in moving their stock between their van and stand. This role will include may include marshalling, assisting demonstrators/stall holders, providing general assistance and information to attendees and will involve a significant amount of heavy lifting.
Events Assistant
Providing assistance during ticketed events/workshops as well as other IMC events. This will involve cash handling, assisting with performer loading/unloading, supervising rehearsal, ticket collection and customer service during events.
Excursion assistant
Accompanying IMC excursions to sites of historic interest and providing practical assistance. This will involve cash handling,taking attendance, ensuring participants are aware of meeting places and times.
Information Desk Assistant
Being an information point for delegates and exhibitors. Answering any queries where possible and directing to information desk if more information needed. Ambassador to direct delegate to areas on campus, including session rooms, social areas, taxi rank, and so on. Helping delegates to access information in IMC Mobile App.
·At busy times for the Information and Payment Desk, triage delegate queries in the queue to quickly answer simple queries and reduce waiting times.
Ambassador
Being an information point for delegates and exhibitors. Answering any queries where possible and directing to the information desk if more information needed. Ambassador to direct delegate to areas on campus, including session rooms, social areas, taxi rank, and so on. Helping delegates to access information in IMC Mobile App.
Essential Characteristics for Applicants

Please note: To be considered for this role, you MUST be available for the the mandatory training day in person on 25th June and MUST be available for the key event days 7th - 11th July.
Full paid training provided for all roles.
When?
Shifts are between 30th June - 11th July with the majority being 7th - 11th July.
(There is a possibility to continue working with the University Conference and Events team following this event on a casual basis. Ongoing events throughout the year
