THE EMPLOYER
The Advancement team are responsible for the delivery of communications, events, volunteering and fundraising programmes to help graduates feel connected to and part of the global Leeds Community.
What does the role involve?
You will support engagement activity including communications, events and volunteering engaging with new and recent graduates to help them make the most of life after Leeds; helping to develop our global networks and engage our donor community; or within the Business School faculty team, engaging key alumni to support our submission for flagship league tables and rankings.
You will help underpin key processes, database processing, help with mass communication, reporting and general office administration tasks.
Key duties:
• Providing administrative and operational support for face-to-face and digital alumni and supporter engagement activity, including staffing in-person and digital events, co-ordinating printed and digital collateral, and organising campus visits and meetings;
• Managing data on alumni database including: providing data for campaigns and communications; processing and recording event, volunteering and communications activity; updating and maintaining alumni records and information;
• Using the database and LinkedIn to identify particular alumni to engage in volunteering, communications or other engagement activity and making contact with them as necessary to collect relevant information;
• Liaising with colleagues across the University to collect data and feedback on alumni participation in events, volunteering and communications activity, reporting on the variety and impact of alumni activity across the University, and noticing trends and patterns;
• Co-ordinating communications to alumni via social media channels and email including scheduling social media posts, generating mailing lists, creating and sending mass emails, monitoring responses and follow-up;
• Monitoring feedback and communications from alumni to identify interesting stories and potential volunteers to feed into activity planning;
• Providing customer support, including managing shared inboxes and responding in a timely and professional way to incoming events and volunteering enquiries;
• Supporting global alumni group activities by sending communications, managing group membership and recording activity on the alumni database;
• Organising international travel including booking flights and accommodation and creating and managing meeting schedules.
You will need:
The ability to work collaboratively across different teams and develop working relationships with internal and external stakeholders at different levels of seniority;
• Organisational skills with the ability to manage competing tasks and deadlines effectively;
• Written and verbal communication skills with an ability to provide good customer service;
• IT skills, including use of databases and experience of Microsoft Office (particularly regular use of Word, Excel and Outlook);
• Attention to detail and accuracy;
• Experience of collecting and formatting data accurately to record, evaluate and inform activity.

Where, when and pay?
The role will be hybrid with Monday in office and a second day of your choice.
Full time - 35 hours per week (please note this role would not be suitable for current Post Graduate Students due to expected working hours)
Start date: March 2025
End date: Up to 3 months
Pay: Grade 4
